Before you start: three quick checks
Most activation problems come from one of three causes. Checking them first saves time: 1) Edition mismatch: open Settings → System → About and confirm you are running the same edition as your key (Home vs Pro, Windows 10 vs 11, Office Professional Plus vs Home & Business). 2) Typing errors: copy and paste the 25-character key from your email instead of typing it; 0 and O, 8 and B are easy to mix up. 3) Old installs: a leftover trial, a different Office edition or a company (KMS) key on the same PC can block activation; remove them before entering your key.
How Windows and Office activation works
When you enter a product key, Windows or Office sends it to Microsoft’s activation servers, which check that the key is genuine, matches the installed edition and has not exceeded its allowed number of activations. If everything matches, the license is linked to your PC’s hardware (and to your Microsoft account, if you sign in), and reinstalling later is usually automatic. Every error code in the guides above describes a specific point where that check fails, which is why the code is the fastest way to find the right fix.
